01What it reads

It reads what it needs, when you ask.

Your message and the chat it’s in, your business details, and whatever it looks up to answer: the customer, the job, the Diary, past chats that match, the photos.

A model is asked only when you do something: send a message, add a photo, or photograph a data plate. The morning and evening notifications, the daily tip and the payment reminders are written by Tools Down itself from your Diary and your invoices, with no model involved.

Who reads it

Every service that sees your work, and what it does.

OpenRouter: Passes each request to the model and back. Every request is sent with zero data retention on and data collection refused, so it goes only to providers that keep nothing and train on nothing.
Anthropic’s Claude models: Write the replies and do what you asked, reading your message and the parts of your work they need. They also describe your photos so you can find them by what’s in them, read receipts into expenses and read a boiler’s data plate for a gas safety record.
An OpenAI embedding model: Turns what was said in your chats into an index, so “What did I say about Mrs Jones’s board?” finds the right chat.
Meta’s Llama Guard and TypeSafe’s Jev: Check each message for anything harmful after the reply has gone. Nothing is blocked, and only the result is kept, never the words. Jev also judges which of your earlier chats answer a question about them. TypeSafe is in the United States.
Exa, for web searches: Gets the search words when it looks something up online, like when the wholesaler shuts. It isn’t held to zero retention, so a search is for the public thing only: never a customer’s details, and one with an email address, a full postcode or a phone number in it is refused.
Amazon Transcribe: Turns what you say into words, in Amazon Web Services’ Ireland region, as you speak. Tools Down keeps the words you send, never the recording.

02What they keep

Zero data retention. The models train on nothing.

Every call to a model goes through OpenRouter with zero data retention on and data collection refused. The models keep nothing once they’ve answered, and train on nothing you send. We don’t train models on your work either.

What Tools Down itself keeps is your work, in your account, until you delete it: where it’s stored and how you take it or delete it.

03Incognito

Want a chat that keeps nothing? Go Incognito.

An Incognito chat has no memory of your other chats, can’t change anything in your business, and isn’t saved: no history, and no photos. All that’s kept is a count of its messages, for the free plan, and what they cost to answer, never the words.

Does Tools Down use my work to train AI models?

We don’t. And every call to a model is made with zero data retention on and data collection refused, so the models that read your messages and photos keep nothing and train on nothing.

What happens to my voice?

Amazon Transcribe, in Amazon Web Services’ Ireland region, turns it into words as you speak. You check the words or send them, and Tools Down keeps the words you send, never the recording. Amazon keeps none of it to improve its services: our account is opted out. How your account is kept yours.

Can it get things wrong?

Yes, the way anyone taking a message on a busy day can. So it shows its work: everything it makes or changes comes back as a card you can open and check, with Undo. Quotes and invoices are drafts until you send them. When two customers could be the one you meant, it asks which. When it can’t find something it says so rather than guess, and it won’t state a regulation, a tax position or a price as fact: signing off the work stays with you.

Does it tell me a regulation is met?
