What matters on your jobs

What it does around an install

The quote that arrives first

You say: Quote the Morgans: combi, filter, smart stat, flush, £3,450.

A quote page they accept in one tap, valid for 30 days, sent before you’ve left the street. Quiet for a week? It’s in your morning brief with a Follow up button.

Deposit and balance from the same job

You say: Ask the Morgans for a 30% deposit.

The deposit invoice comes from the job, and the final invoice takes the deposit off. Every invoice is chased at 3, 7 and 14 days if it isn’t paid.

Remember the install

You say: What did I fit at the Morgans’?

Photos of the old data plate, the flue route, the gas run and the finished install are filed on the job. A year later, ask and they’re back.

The admin after, remembered

You say: Remind me to register the Morgans’ warranty tomorrow.

And “remind me their first service is due next October”. Reminders come up in your Diary. The registering itself is still done on the manufacturer’s site.

From survey to first service

  1. Survey: the quote, sent from the drive.
  2. Accepted in one tap.
  3. The deposit invoice, from the same job.
  4. Install day: photos of the flue, the gas run and the data plate.
  5. The balance invoice, with the deposit taken off.
  6. Reminders: register the warranty, then the first service.

The honest fit

What it doesn’t do

  • No heat-loss calculations, sizing, system design or product recommendations.
  • It doesn’t register warranties, notify Gas Safe or building control, complete Benchmark, or apply for the Boiler Upgrade Scheme.
  • Of certificates, only gas safety records are built: no commissioning or service records.
  • No card payments, finance or pay-by-bank button yet.

Price and the free plan

Made for heating engineers working on their own.

Free to start. One price if you need more.

  • Your first month is free, with no card.
  • After that, 50 messages a month to Tools Down stay free for good.
  • Every screen works on the free plan: quotes, invoices, chasing, reminders, the customer’s pay page, gas safety records and export.
  • Tools Down Pro is £29.99 a month including VAT, through Apple. It lifts the message limit and nothing else, and the price you join at is the price you keep.
  • Tools Down’s ceiling is 2,000 jobs a month on every plan, so there’s no allowance to watch. A weekly fair-use limit on messages applies on every plan.

Straight answers

Questions heating engineers ask

Can customers accept a boiler quote online?

Yes. Every quote has its own page with one-tap accept, valid for 30 days by default. If it goes quiet for a week, it shows up in your morning brief with a Follow up button.

Can I take a deposit and invoice the balance later?

Yes. Ask for the deposit by chat, as a percentage or an amount. The final invoice takes the deposit off, and every invoice is chased at 3, 7 and 14 days if it isn’t.

What does a combi install need in England?

Approved Document L asks for at least one of flue gas heat recovery, weather compensation, load compensation or a smart thermostat with automation and optimisation (para 6.2), and thermostatic room controls when a boiler is replaced (para 5.20); Approved Document J asks for a CO alarm in the room (para 3.43). See Approved Document L, volume 1 and Approved Document J.

How long do I have to register a boiler warranty?

It depends on the manufacturer. Ideal, for example, says within 30 days or the warranty may be limited to 12 months (Ideal Heating: boiler warranties). Tools Down can remind you; it doesn’t register it for you.

Does it do heat pump grant paperwork?

No. The installer applies for the Boiler Upgrade Scheme, and the grant is taken off what the customer pays (GOV.UK: Boiler Upgrade Scheme).

Will it remind me about annual services?

Ask it to, per customer, and the reminder comes up in your Diary. For landlords, gas safety records set the next check date for you.

Paperwork and rules

The rules around an install

Information, not advice. Open a rule to read it, with its source; check the source for your own job.

Your work

The jobs you quote

  • Combi swaps and relocations
  • System and heat-only to combi conversions
  • Powerflushes and magnetic filters
  • New and extra radiators, TRVs and smart controls
  • Cylinders and underfloor heating
  • Heat pumps, for MCS installers
  • Breakdowns and repairs
  • Annual services

How the money comes in

  • Big quotes the customer compares, usually against two others.
  • A deposit to book, often more on the day the boiler arrives, the balance on completion.
  • Heat pumps: the Boiler Upgrade Scheme grant shown as a deduction and paid to the installer.
  • The annual service: a warranty condition, and the next job.
