02Where it’s kept
Kept in Ireland, by Amazon Web Services.
Your customers, jobs, quotes, invoices, chats and photos are kept in Amazon Web Services’ Ireland region: the records in a PostgreSQL database that can’t be reached from the internet, the photos and documents in private storage. Both are encrypted. How your account is kept yours.
03Who reads it
Read to answer you, kept by none of the models.
To answer you, models read your message and the parts of your work it needs, through a service called OpenRouter, with zero data retention on. Voice is turned into words by Amazon Transcribe in Ireland. Web searches go to a search engine for the public thing only, never a customer’s details. Each service, and what it sees.

Nothing reaches a customer unless you’ve sent it, apart from the reminders on an invoice you’ve sent.
By itself
- Payment reminders to your customer by email, 3, 7 and 14 days after an invoice you’ve sent is due, until it’s paid. The invoice shows when the next one goes, and you can pause or turn them off.
- Tells you things: the morning brief and evening wrap, your reminders, and when an invoice is opened or overdue or a quote is accepted.
- Files things: photos on the job, receipts as expenses, customers as you mention them.
Waits for you
- A quote or an invoice reaching your customer: you share it, as a link or a PDF.
- A follow-up on a quiet quote: it drafts one for you to send yourself.
- A gas safety renewal message: it goes once you’ve approved it, and a tenant’s copy only with the landlord’s agreement.
- Deleting a customer, a job or a draft quote: on its screen, once you’ve confirmed it.

Take a copy, or delete the lot. Any time.
Export everything in one file: your customers, jobs, quotes, invoices, payments, reminders and expenses as spreadsheets, every quote and invoice you’ve sent and every gas safety record as a PDF, your photos, and your chats as text. The link lasts a day and the file is deleted after a week.
Delete your account and your business details, customers, jobs, quotes, reminders, chats and photos go, and the database backups that held them expire within 14 days. Delete one customer, and their details, jobs, photos and notes go, while issued invoices, accepted quotes and gas safety records stay, because you have to keep them.

Can it get things wrong?
Yes, the way anyone taking a message on a busy day can. So it shows its work: everything it makes or changes comes back as a card you can open and check, with Undo. Quotes and invoices are drafts until you send them. When two customers could be the one you meant, it asks which. When it can’t find something it says so rather than guess, and it won’t state a regulation, a tax position or a price as fact: signing off the work stays with you.
Is my work used to train AI models?
We don’t train models on your work, and the models that read your messages and photos keep nothing and train on nothing: every call to them is made with zero data retention on and data collection refused. Which services see what.
Why does the app ask for my camera, microphone or location?
Only when you use what needs it: the camera for a photo, the microphone to talk, your location for a “near me” question, and notifications once your first quote or invoice goes out. What it asks your phone for, and when.
Can I talk to a person?
Yes. Email hello@toolsdown.app, or tap Get in touch in Settings, which starts the email for you. A person at Blue Ocean Code reads it and answers.
