What the record holds
The record, field by field.
Each record captures what you checked and what you found, for landlords or homeowners. It won’t issue with a required field missing.
- The date of the check and the address.
- The landlord’s or agent’s name and address, and the tenant.
- Each appliance: type, location, make, model, GC number, serial and flue type.
- Flue and ventilation checks, readings (operating pressure or heat input, or a combustion set), the safety device, and whether it’s safe to use.
- Any defect and the action taken.
- Installation checks: tightness, pipework, the meter and bonding.
- Your name, signature and Gas Safe registration number, and the customer’s signature or a note that they weren’t there.

The data plate, from a photo
You say: A photo of the boiler’s data plate.
It reads the make, model, GC number and serial for you to confirm. At a repeat visit, last year’s appliances come with the record.
Next year’s job, already lined up
The next check shows in your Diary. A month before it’s due, a message to the landlord is drafted, offering two of your free mornings. It goes when you say so.
The tenant copy, with the landlord’s agreement
Tools Down sends the tenant a copy only once you’ve confirmed the landlord agreed, in line with HSE’s guidance that an engineer may send the record straight to the tenant with the landlord’s agreement.

Questions gas engineers ask
Can I do landlord gas safety records (CP12s) on my iPhone?
Yes. Tools Down does landlord and homeowner gas safety records. They issue with no signal and send when it returns, and a photo of the data plate fills in the make, model, GC number and serial for you to confirm. You enter the readings and the outcome; Tools Down never fills them in.
Is a gas safety record the same as a CP12?
In everyday use, yes. CP12 and LGSR are names people still use, and some say gas safety certificate; the regulations talk about a record of the safety check (Gas Safety (Installation and Use) Regulations 1998, reg 36).
How often does a landlord need a gas safety check?
At intervals of not more than 12 months, and a new tenancy needs a check in the 12 months before it starts (Gas Safety (Installation and Use) Regulations 1998, reg 36). Northern Ireland has the same rule in its Gas Safety (Installation and Use) Regulations (NI) 2004, reg 36.
Can I do the check early without losing the date?
Yes. A check in the two months before the deadline counts as done on the deadline date (reg 36A), and records are kept until two further checks have been done.
Can I email the record straight to the tenant?
HSE says a gas engineer may send the electronic record directly to the tenant with the landlord’s agreement (HSE: gas safety check records). Tools Down only sends a tenant copy once you’ve confirmed the landlord agreed.
How long does the tenant have to get a copy?
Existing tenants within 28 days of the check; new tenants before they move in (Gas Safety (Installation and Use) Regulations 1998, reg 36).
Will it remind me when the next check is due?
Yes. The due date shows in your Diary, and a month before, a message to the landlord is drafted, ready to send when you say so.
Does it do warning notices and service records?
Not today; it does gas safety records. Keep your warning notice pad.

No self-employed person may carry out gas work unless they’re in the class of persons approved by HSE, which is the Gas Safe Register. Nobody may falsely pretend to be a member.
The landlord’s annual checkEngland, Wales and Scotland
Each appliance and flue must be checked for safety within 12 months of being installed and at intervals of not more than 12 months since the last check.
What the record containsEngland, Wales and Scotland
The date; the address; the landlord’s or agent’s name and address; each appliance or flue checked and where it is; any defect; any remedial action; confirmation of the examination in regulation 26(9); the engineer’s name and signature; and their Gas Safe registration number.
