£180“What did I say about Mrs Jones’s board?” The answer comes from your own jobs, with the photos you took. Say it once, and it’s there when you ask.
“Quote Sarah £1,850 plus VAT for the kitchen rewire.” It’s made in your business’s name, yours to check before it goes. Bookings, invoices and reminders the same way.
When an invoice goes late, or rain’s due on tomorrow’s outdoor job, it says so. Each morning, what’s on and what’s overdue; each evening, what’s finished but not invoiced and which quotes are still waiting.
Product demonstrations with a fictional business and customer.
01Remember
Your notebook, your calendar, WhatsApp, your quote template, the reminders, the camera roll, Google and everything in your head: one thing you talk to, and it knows the lot. The finish they chose, the photos of the ceiling: say it once, on the job, and ask for it when you need it.

03Diary
Tell it when you’re going and it’s in the Diary. Then it looks out for you: first thing, what’s on and what’s overdue. Ask what’s on and you see who’s late paying and which quotes have gone quiet, with Follow up. At the end of the day, the evening wrap says what’s finished but not invoiced, and what tomorrow starts with.
Booked in. Tuesday, 08:00 to 12:00.

Straight answers
Say it the way you’d say it on site: “Quote Mrs Jones for the board, £650.” Type it or say it. Tools Down shows you the quote or invoice it made, and you share it when you’re happy.
Anything. About your own work: “What did I charge Dave last time?” or “What did I say about Mrs Jones’s board?” Something to write: “Write me a text saying I’m running late.” Or something to look up, like when the wholesaler shuts.
At 07:30 on a working day, what’s on and what’s overdue; at 18:00, what’s finished but not invoiced and which quotes are still waiting. It also speaks up when a quote goes quiet, when two jobs clash, and when rain’s due on tomorrow’s outdoor work. The morning brief and evening wrap.
Every screen keeps working, and payment reminders carry on. The Free plan gives you 50 messages a month to Tools Down, and Tools Down Pro lifts that limit for £29.99 a month including VAT, or £24.99 if you reclaim VAT. What counts as a message.
Export your customers and records from the old app before you cancel it. Then tell Tools Down the jobs as they come in; customers are saved as you mention them. What Tradify, Fergus, ServiceM8 and Jobber say about leaving is on our comparison pages.
It’s yours. Export everything, any time, and your expenses in Xero and FreeAgent layouts or as a plain CSV for QuickBooks and Sage. Tools Down is made by Blue Ocean Code Ltd in Wimborne. Questions go to hello@toolsdown.app. Where it’s kept, and who else sees it.
Less to carry in your head.
More of the evening back.
