How the AI assistant worksOne thing you talk to. It knows the lot.
Tools Down keeps your customers, jobs, photos, prices, Diary and money in one place, and works from them. Ask it something and it answers from your own work. Tell it what needs doing and it does it. And it tells you what you’d miss.

Ask it anything. The answer comes from your work.
“What did I charge Dave last time?” “What did I say about Mrs Jones’s board?” The answer comes from your own customers, jobs, invoices and past chats, with the photos you took. Say it once, and it’s there when you ask.
It writes for you too (“Write me a text saying I’m running late”) and looks things up online, like when the wholesaler shuts. It won’t state a regulation, a tax position or a price as fact: it shows you your own record, says where something came from, or says it can’t tell you.
Tools Down: £240, for the garden lights in May.
From Dave’s garden lights job
Tools Down: Scorched neutral on the cooker circuit, and no bonding to the gas. These are the photos you took.
02Act
Tell it anything. It works out where it goes.
“Put Dave in for Tuesday morning.” “Quote Sarah £1,850 plus VAT for the kitchen rewire.” “Remind me Friday at 2 to chase the Willow Lane invoice.” Say it the way you’d say it to a mate, typed or out loud. It works out whether that’s the Diary, a quote, an invoice, a reminder, a customer or an expense, and does it.
What it makes comes back as a card you can open, check and change, with Undo. Quotes and invoices are drafts until you send them, and they reach your customer when you share them, as a link or a PDF.
Tools Down: Booked in. Tuesday the 7th, 08:00 to 12:00. Nothing clashes.

03Notice
It tells you what you’d miss. Before you think to ask.
At 07:30 on a working day it tells you what’s on and what’s overdue. Ask “What’s on today?” and you see today’s jobs, who’s late paying, quotes that have had no answer for a week, with Follow up, and work waiting for a date. At 18:00 the evening wrap says what’s finished but not invoiced, which quotes are still waiting, and what tomorrow starts with.
When an invoice made in a chat is opened or goes late, a line says so in that chat. Unpaid invoices are chased for you at 3, 7 and 14 days. Reminders you set come through when you said. And once a day at most, a tip on something it can do that you haven’t tried.
Mrs Patel at 08:00.
£600 overdue on 1 invoice.
Tools Down: Mrs Patel at 8, then you’re free. Ellis still owes £600.

Say it once. It’s saved where it belongs.
Everything you tell it lands on the right record: the customer, the job, the Diary, the quote, the invoice. Photos are filed on the job they’re about, receipts become expenses, and your prices, notes and past chats are there to answer from.
That record of your business is what it answers from and acts on, so nothing needs saying twice, and you can open any of it and see exactly what it holds.

What people ask before they trust it
Can it get things wrong?
Yes, the way anyone taking a message on a busy day can. So it shows its work: everything it makes or changes comes back as a card you can open and check, with Undo. Quotes and invoices are drafts until you send them. When two customers could be the one you meant, it asks which. When it can’t find something it says so rather than guess, and it won’t state a regulation, a tax position or a price as fact: signing off the work stays with you.
What does it do without asking?
It chases: when an invoice you’ve sent isn’t paid, reminders go to your customer at 3, 7 and 14 days after it’s due, by email in your business’s name, until it’s paid. The invoice shows when the next one goes, and you can pause them or turn them off, or stop them for a customer. It tells you things: the morning brief and evening wrap, your reminders, and when an invoice is opened or overdue or a quote is accepted. And it files as it goes: photos on the job, receipts as expenses, customers as you mention them. Nothing else goes to a customer by itself. A follow-up is drafted for you to send, and quotes and invoices reach a customer when you share them.
What waits for me?
Sending. Quotes and invoices reach a customer when you share them, as a link or a PDF; a follow-up is written for you to send yourself; a gas safety renewal goes to the landlord once you’ve approved it; and a tenant gets a copy of a gas record only with the landlord’s agreement. Deleting a customer, a job or a draft quote happens on its screen, after you confirm it. In a chat it can cancel a booking or a reminder, or void an unpaid invoice, when you ask it to.
Do I have to set anything up first?
No. It asks your name, and anything else when it first needs it: your business name the first time a quote goes out, your bank details the first time an invoice does. Customers are saved as you mention them, and your logo and colour can wait until you want them.
Will it understand me?
Say it the way you’d say it on site: “Quote Mrs Jones for the board, £650.” Type it or say it. Tools Down shows you the quote or invoice it made, and you share it when you’re happy.
What happens to my data?
It’s yours: export everything or delete the lot, any time, from Settings. It’s stored with Amazon Web Services in Ireland, and the models that read your messages to answer them keep nothing and train on nothing.Which services, and what each one sees, how your account is kept yours, and who makes Tools Down.
